Retrofitting for tax groups by zip code

1. Turn on Tax Groups in {L} Customization (press -Escape- for the second screen) Formats & Percents by setting Sales tax breakdown to Y.
2. Set up tax groups in Lookup Table Maintenance function {MG} Add/Edit/Delete Tax Group Information.  Print your list with {M7}.

You now have usable tax groups, but all existing records have blank codes.  You can, of course, edit individual Client and Job records, which now have Tax Group data fields.  There is a faster way, using specialized Concise Logic utilities - instructions follow.

3. Make a data backup before running the following utilities!  If you make an error and want to go back to the way it was before, you will need a backup to restore from.  With both these utilities, please only make a change or an entry if you are sure it will be correct for ALL records with that information.  If you are not sure, please just leave the line alone.

4. Run the DRAINS 3 utility called GoodCity:
    From the Main menu, enter a carat (^).  The screen says Enter password:.  Enter "kghn" - you won't see what you type.  The Programmers' Tools menu appears.
    Enter K to Run Program.  In the red box, type c:\drains\util\goodcity and press -Enter-.
    The GoodCity blue screen is titled CLEAN UP CityStateZip.  The S to set up the correction file is already typed.  Press -Enter-.
    The post office likes single spaces, no commas.  To comply, enter R to remove doublespaces and punctuation from the correction fields.
    The E to edit is already typed.  Press -Enter-.
    Press -Enter- at the blank "start at" to start checking and correcting city-st-zip lines at the beginning.  (While you are making corrections to the onscreen list, you might want to make a paper list of the zip codes you use most, and figure out the tax group codes that should go with them.)
    -Ctrl-End- to exit the corrected list.  The W to write the corrections into all your files is already typed.  Press -Enter-.
    The C to clean up the temporary files is already typed.  Press -Enter-.
    The M to exit the utility is already typed.  Press -Enter-.

5. Run the DRAINS 3 utility called Zip2TxG:
    If you are still on the Programmers' Tools menu, skip to the next instruction.  Otherwise, from the Main menu, enter a carat (^).  The screen says Enter password:.  Enter "kghn" - you won't see what you type.  The Programmers' Tools menu appears.
    Enter K to Run Program.  In the red box, type c:\drains\util\Zip2TxG and press -Enter-.
    The Zip2TxG blue screen is titled FILL IN Tax Group BY CityStateZip's ZIP CODE.  The S to set up the tax group by zip file is already typed.  Press -Enter-.
    The E to edit is already typed.  Press -Enter-.
    Press -Enter- at the blank "start at" to start entering tax group codes.
    -Ctrl-End- to exit the tax group by zip list.  The W to write the codes into all client and job records having blank tax groups is already typed.  Press -Enter-.
    The C to clean up the temporary files is already typed.  Press -Enter-.
    The M to exit the utility is already typed.  Press -Enter-.

Many History reports, especially sales tax reports, can be split by tax group.   When you enter new jobs and clients, please make sure to code them correctly for Tax Group.
